Google is once again improving its AI strategy by expanding Gemini capabilities inside Google Workspace. The latest update allows users to bring Gmail conversations directly into Ask Gemini in Google Drive, creating a more unified and context-aware productivity experience across emails and files.
With this rollout, Gemini moves beyond simple file analysis and becomes a cross-platform assistant that understands the typical context of a user's work environment.
Gemini in Drive Evolves Into A Unified Workspace Assistant

Previously, Ask Gemini in Google Drive primarily focused on analyzing files stored within Drive. Users could summarize documents, extract insights, and organize content, but its scope was limited to file-based data.
With the new expansion, Gemini now integrates Gmail conversations from Gmail as part of its reference system.
According to Engadget, this means users can ask the AI to summarize long email threads, highlight key decisions, or connect relevant information between emails and Drive files.
Google describes this upgrade as a move toward delivering a "complete view of business context." Instead of manually switching between apps, users can now rely on Gemini to interpret multiple sources of information at once, making it easier to understand ongoing projects and decisions.

Productivity Gains Through Cross-App AI Integration
Google is up for the AI trend now: AI-powered assistants that unify fragmented digital workflows. In practice, this means users can manage complex tasks without jumping between multiple apps.
For example, a project manager can ask Gemini to summarize email discussions, pull related documents from Drive, and identify action points in a single query. This reduces time spent searching, reading, and cross-referencing information manually.
Google's approach puts Gemini as a direct competitor to tools like Microsoft Copilot, which is also embedded across Office applications.
Both companies are racing to define the future of AI-assisted productivity, where email, documents, and chat are no longer separate systems but connected knowledge layers.
For teams, the benefit is significant. Instead of reviewing long email chains or scattered documents, Gemini can surface concise summaries and highlight important decisions. This makes collaboration faster and improves decision-making efficiency across organizations.
Privacy, Security, and User Control Remain Central
Despite its productivity benefits, the expansion appears to be questionable in terms of data privacy and access control.
According to Digital Trends, Google emphasizes that Gemini only processes Gmail content when users explicitly include email threads as sources in their queries.
Additionally, administrators must enable the feature at the Workspace level, and users must activate smart features before accessing cross-app AI capabilities. This ensures that organizations retain control over how their data is used within the system.
Gradual Rollout Across Workspace Editions
The rollout of the enhanced Gemini experience began on June 3, 2026, and will gradually expand over 15 days. It is available across multiple Google Workspace tiers, including Business Standard, Business Plus, Enterprise plans, select Education editions, and Google AI Pro and Ultra subscriptions.
